Personio could use a "Work Email" Field

Hi there,

 

I have realized there is an issue with the onbaording process:

If I want an employee to fill out the fields and start the onboarding before their first day, I need to enter their private email address, so they have access. I think it would be very useful to have a second field with their work email which becomes activated on their first day, since Personio is a work related tool, not a private tool. What do you think?

Thank you for sharing your feedback with the Community.

I am glad to let you know that the issue you are describing is solvable with a clever workaround thanks to the Automation Plus add-on and its Schedule Changes feature.

If you need to change employee attributes (such as an email address) on a fixed date in the future, you can schedule these changes to take place on that date. In your example, when setting up your future employee’s profile, you can would:

  • schedule an Attribute Change for the Email field
  • select their hire date 
  • enter their “future” email address (in this case, their work email address).

You can easily schedule an Attribute Change for it to take place at any time in the future. In the example you mentioned, you can make that attribute change on their hire date. In the example you mentioned, you can schedule their Email to change to their work email.

For example :)

 

If you would like to also keep track of their personal email address (the one you have previously used for communication), you can already add that to their profile as their “Personal email” attribute. If you don’t have that attribute already, you can always create a custom Attribute.

we are using the workaround you describe already for quite some time. In addition we are using a reminder email a few days before the actual hire date to check if the account email was changed to the company email and if the relevant roles were assigned to the new employee.

We are missing the possibility to schedule attribute changes and also role assignments directly in the onboarding process. This would be valuable. Best would in my opinion be if we could define the date of the scheduled change in the onboarding step: e.g. “on hire date e-mail should change to ...”.

For the example you mentioned, with the Onboarding Steps, it is possible to add a Reminder for the HR Managers (or whatever role you choose) to change the Employees’ email address. The task would have to be done manually though. 

About the possibility to schedule attribute changes and role assignments directly in the Onboarding process: If you submit it as an Idea in our Ideation Area, our Product Team will have a look at your suggestion and other users will also be able to upvote it. When you submit your Idea, make sure to address the following questions, so everybody can fully understand your situation:

  • What issue would you need to solve with Personio? 
  • Why? What would be the added value for you? 
  • How are you solving it right now?
