however I could not see if there is a way for Freelancers to not have a work schedule as in our case they simply work by the hour.

I understand this isn’t possible for full time employees to not have a work schedule, in part due to legal requirements. But for Freelancers it would make sense to just be able to track time by the hour.

Great that you have found this documentation already! :)

In Personio everyone has to have a working schedule as other parts in the tool rely on this. There is no distinguishing between freelancer or internal employees. The standard working schedule is automatically assigned to every employee, this is something that can not be changed. :) 

Would you need a flexible working model? 
Are the Freelancers paid per hour?
How integrated are they in your organization, especially regarding sick days, public holidays and paid leave, do they get these days paid? If not, then it is also no big deal if the hours in the working schedule are not 100% correct. 

I’d like to get a few more insights, that would be great. :)

We have freelancers that get paid by the hour but do not have sick days/public holidays etc. As such it creates a lot of confusion to have to assign a work schedule for them as it simply does not represent their  work realities.

The primary goals of having them on Personio is:

  1. have a place to capture / share all their HR related information
  2. give them access to relevant information of co-workers
  3. make it possible for them to enter time when they will not be available
  4. track hours worked

I see, yes, I understand that this can cause confusion and at the same time you need to have all information in one tool. Thank you also for describing your goals! :) 

As they are being paid per hour and do not enter holidays or sick days, the amount of hours in the working schedule can be set to any amount. The working schedule doesn’t influence the salary as long as there are no absences being taken. 

As they should track their time, when they aren’t available, they can use an absence type with a specific setting: Attendances during Absences are configured as overtime? - “No”
Like this, it is only a notification for the colleagues without a warning popping up in the salary tab.
