Synchronizing Outlook "Absence Calendar" with Personio – Possible?

Hi everyone,

We're currently reviewing how Personio interacts with Microsoft 365, specifically regarding the handling of employee absences. The existing setup works well: absences requested in Personio are properly synchronized with each employee's Outlook calendar.

However, we’re exploring a slightly different workflow:

Goal:
Employees would enter their absence directly in their Outlook calendar by booking a shared resource calendar (e.g., “Absence Calendar”). This calendar would act as a central overview of all team absences.

Question:
Is there a way to have entries from this shared Outlook calendar automatically reflected as absences in Personio?

From what we’ve tested and understood so far, Personio requires each absence to be manually submitted by the employee within Personio itself, and resource calendars cannot be used to generate absences.

We’ve heard this may have worked differently in the past, so we’re curious:

  • Has anyone successfully implemented a similar workflow?

  • Are there any workarounds or integrations (e.g., via API or automation tools) that could support this scenario?

Thanks in advance for your insights!

Best regards,
Daniel

Hi @Daniel_KR, @Moe,

We use Google Workspace at our company so I don’t know about MS. I can imagine though that at least for now is not possible at all as each absence has different settings and if you just enter an absence in Outlook, Personio wouldn’t know which absence to add.

However, the other way around works fine for us (Google Calendar). With the integration, it marks a day off (OOO) automatically in my Google Calendar if I enter a vacation day, sick day, etc. in Personio.

Hi Moe,

this Article does not help us. Cronofy is already activated. Rooms are synced as well.

@Moe  - out of my skill/knowledge range I’m afraid, but it would be an interesting one to get an answer to. I can definitely see the benefits of a two-way API to enable absences to come from Outlook to Personio, as well as the other way around (which I know already exists).
