Dear all,

Could you please help me with the following question:

From January 1st we introduced a new sick leave policy at our company:

  • For the sick leave which lasts up to 2 days we will not ask for any doctor’s certificate.
  • For the sick leave which lasts 2-5 days we would ask for a doctor’s certificate from private medical institution.
  • For the sick leave which lasts more than 5 days we would ask for a doctor’s certificate from public medical institution.


We would like to be able to have those 3 options in Personio for our employees (now we have only Official sick leave) but also to be able to track those absences (e.g. we would like to be able to extract report for all employees who used the Sick leave up to 2 days in the certain period of time).

 

Could you please advise how it would be the most elegant way to solve the different types of sick leaves but also the reporting part?

Welcome to the Personio Community 👋🏻

With our current settings on Personio, there is only the ability to upload one certificate per absence period. However, you can set it up that an employee does not require a medical certificate until a certain amount of absence days have passed. This takes care of the first scenario.

For this case, we would need to use a workaround to upload two medical certificates for one employee absence due to sickness. You can choose to do it two ways:

  1. I would advise creating two sick leave absences, in the first one you will set it up to require a medical certificate after 2 days of absence. In the second absence type, you will set it up that the employee requires a medical certificate after 5 days. When an employee is absent due to sick leave up to 5 days of absence, they will first enter this absence through absence type one. If they were sick over 5 days, then they would also need to request this absence using absence type two from the same start date. This would result in both medical certificates being required and uploaded over the two absence types. It is doubling up on absences if > 5 days  but this is one way to do it.
  2. The second scenario would be to create one sick leave absence, with a requirement of medical certificate after 2 days of absence. The employee then would request two separate absence periods, if the absence period is over 5 days. One period for the first 3 days, to upload the doctor certificate, then another period for the next 3 days to upload the private medical institution doctor certificate. This would look a little cleaner, but you will need to work out within your report when one absence period runs into another.

 

Using our Custom Reports function, you can create a report which will outline all the absence periods taken for these absence types. Please use a timeframe type of report and set it up like shown with the Periods & Taken (days) for the relevant sick leave absence type(s):
