Historical Data Via API

Hi,I want to bring historical data into our BI system to track all changes over time, such as FTE and department changes, etc.From my understanding, the only way to retrieve this data currently is through custom reports. Is this right or are there any other ways I might be overlooking? Thank you for the insights

Disabling user provisioning and deprovisioning while connecting Personio to Microsoft Entra ID

We would like to sync existing user attributes like Job title and Manager from Personio to Office 365.But we need to disable automatic user provisioning for new users and deprovisioning. Is there an option or possibility to disable this ? Currently in Personio , users of two tenants say A and B are being managed. We would like integration only for tenant A. So if a new user of  tenant B is added to Personio , it should not create new profile or user account in tenant A. Therefore we would like to disable automatic user provisioning.

Exit interview

Hello, I saw discussions about having exit interview survey or template in Personio 2 years ago and wanted to know the update. We were thinking of something more interactive like the performance reviews so that we don’t have to upload and download documents but employee can fill the form and then during the actual meeting we will be able to edit it. Is it possible?

Hello All,I was setting up different workflows and came accross different questions/doubts:In the body text of the eamil, Is it possible to add placeholders like hire date, termination date of any other customizes field that we have set up? The other point is more like a suggestion: these automated emails have Personio headers, with Personio logo etc - would it be possible in the future to have these headers costumized with the company header and logo?Thanks,

Trigger workflow by salary change

Hi Team, Great that over the last period many workflow features where added! One feature that I am missing (or I am not sure how to set this up), is to trigger a workflow by a change in salary. It looks like you can only select a change in salary type as a trigger?Are you planning on adding this or is there already a way to set this up?

Slack Integration is inactive. When we try to reconnect/reactivate, its not working

Hey there.Would anyone be able to help and assist regarding slack and personio integration? Our integration with slack is showing inactive status and not working when trying to reactivate. We used to receive daily updates in slack on who are on leave/absence and employees celebrating anniversaries and new joiners but now, its not showing in slack anymore. Can anyone help?Thanks heaps.

What happens if the person who set up the DATEV Lodas integration is set to inactive. Does the new Administrator have to reconfigure the integration or will it remain active and continue to work as usual?

API for entering absences and attendances for personal use only

Hello,Is it possible to obtain an API token to be able to programatically enter my attendance and absence?It is important the API token allows only entering / retrieving my time tracking data and not the ones from my coworkers.I was reading the Personio Developer Hub and went through the API description, but it seems the API allows setting attendance for any employee, not only for myself.The use case for my request is that I would like to automate entering the hours for myself because it’s cumbersome to use the UI each time.Is there a way with the current implementation of the API?

Absence sync to Outlook Calendar

Dear all,we connected our personio group calender via MS EntraID / Cronofy and it syncs all approved vacations to the employees calender. We have two more types of absences that an employee can request: HomeOffice and BusinessTrip. This ones are not synced to the calenders (yet) and we want them to be synced to Outlook calendars in the Status “working elsewhere” and not as a private appointment, but with titels included. How can we implement this? Best,Stefan

Zapier - Create employee in Persionio from Airtable

Hello,I’m completely new to Personio and am managing the migration from our self-built Airtable-HR tool to Personio.I’v setup a Zap between Personio and Airtable. Now, when running it I’m receiving the following error from Zapier: “File name extension is not valid” (see below). However, I’m not syncing any files between our Airtable base and Personio.   As you can see the field for “File” is left empty and it’s not mandatory. Why is the Zap trying to sync this field regardless? I appreciate any help with this. Thank you!

Access rights for connecting Entra ID marketplace integration

I would like to establish the Entra ID connection in the Marketplace. To do this, I have the authorizations for the Marketplace integration as described in the documentation and the Privileged Authentication Admin role in Entra.However, the button in the Marketplace is grayed out for me.What can I do?

How long does the 'List Employees' API take to reflect changes made on the dashboard?

I terminated an employee and set their termination date to the previous day, making this change at 12:30 PM. Since then, I’ve been using the updated_since filter to fetch the updated employee list every 15 minutes. However, even though I terminated the employee at 12:30 PM, the API still returns this employee as updated at 1:15 PM. This doesn't seem correct because no further changes were made after 12:30 PM, so there shouldn’t be any new updates for this employee.Could you clarify why this is happening? if it takes time then how much time will it take to reflect.

Integration to the System Report: FTE

Hello Personio Community,We’re seeking advice on exporting historical FTE data from Personio for use in our reporting processes. From what we’ve gathered, there seem to be three potential approaches:Integration – Provides real-time data, but we need monthly historical values. API Calls – Grants access to custom reports for FTE, but replicating this report is complex and doesn’t always deliver reliable or accurate results. System Report for FTE – This works perfectly for us, and we are very happy with its accuracy. However, the only way to access it is through manual export, which isn’t a maintainable enterprise solution.We would greatly appreciate your insights on how to achieve our goal or how other companies have tackled this challenge.We’re open to considering paid solutions if necessary.What would you suggest?Thank you in advance for your support!

Limit Slack Absence Notifications

Hi,we are using the slack integration for personio for absences. However, we would like to limit the channel updates to once per absence. For example, if I were to go on holiday from the 21st of December to the 6th of January there only is one Channel Update on the 21st of December, rather than a daily reminder. Ideally, we would have 2 updates on the first and on the last day of the holiday, however, assuming that this is more complicated, 1 would suffice. Is there a possibility to amend this accordingly? Bestglitterbiscuit

However, we’ve encountered some issues retrieving custom_attributes for specific job postings, and we’re hoping for your guidance.Current situation:In Personio, we use the "Application Form" section to configure specific fields (e.g., custom questions or requirements) for each job posting. Workflow relative to an attribute date

Hello,Is there currently an option to create an automated workflow based on another date than these?I’m looking to automate notifications that someone’s visa is expiring and they therefore need to provide a new one, or similarly with students’ enrolment certificates. We have those set as “date” attributes, but I haven’t found another option than this old reminder attached to All employees role which does not provide a nice experience.Would be great to hear whether there is such an option, or whether there will be one in the future.Thanks!

Upload a pdf to a document category using Power Automate HTTP Post request

Dear Community, for our onboarding process I would like to provide a newcomer with a certain PDF.Powerautomate generates the PDF, puts it on a Sharepoint Document Library, then uploads the PDF to a user’s document tab into a specific category. The parameters provided are the employeeid, categoryid, title and the data of the PDF. The result is a blank page. Using WinMerge I was able to compare the original file and the file downloaded from Personio. There seems to be an issue with the encoding as some characters get manipulated. In the screenshot provided are the Header and Body. I tried adding the base64 option as still visible in the data part. That makes no difference. Encoding the file in base64 leads to Personio storing the uploaded content in a text file with the base64 string encoded. I was sure having read how that is a requirement but cannot find a reference now. Is this really an impossiblity? I can’t believe Personio makes this unnecessary hard. Request HeaderRequest Body Loo

Absences on Slack - 'visit Personio for a complete list'

Hi!  Since October 3rd, I’ve noticed that the full list of Absences on a particular day isn’t pulling through on Slack - it says ‘and others; visit Personio for a complete list’. This wasn’t the case before (it used to show the full list) but as it doesn’t allow people to efficiently see who is / isn’t working on a particular day (one of the major reasons for choosing this integration), it’s causing quite a few problems. Is there a setting that I can change to stop this happening and see the full list on Slack again?   Thanks!

Update email via API

Hi everyone,Currently, I am trying to automate the employee onboarding with Google Workspace. The envisaged process looks like the people department creates the Personio user with the private email address of the new employee. Then the automation creates the account in Google Workspace, uses the private email address to send the initial password to it. Afterward, the Personio email filed is updated with the company email address.Unfortunately, it seems like this is not feasible with the current version of the API, as the email field is not patchable.Is there any workaround for the process to work like envisaged?Are there any plans to make the email filed patchable?Thanks and best regards,Lars

Visa expiration workflow

I would like to create a workflow, actually three workflows, which are all reminders for us, the HR team, to be aware of the expiration date of the working permit of our employees. I tried to create the workflow myself, but It doesn't trigger.
