Modifying active employee data change approval workflow

Hi, 

I’m trying to modify an active employee data change approval workflow. Currently the workflow has 3 approvers, and I’d like to remove the last approver. When saving I get the notification that “there are pending requests that will be resubmitted for approval” once the modified workflow is saved. 

I checked in the workflow activity view that there are no workflows in progress related to the workflow I’m trying to change. 

What is the pending requests referring to in such a case? What will happen if I save the changes to the workflow?

good question!

The message about “pending requests that will be resubmitted for approval” refers to open approval requests that already exist and are still awaiting a decision, for example employee attribute / employee data change approval tasks that are currently sitting in an approver’s Inbox.

It’s possible to see this warning even if you don’t spot anything in the workflow activity view, because monitoring is split across different areas in Personio: the Automations > Activity tab focuses on workflow-builder activity (last 30 days), while open approval requests are best checked via Automations > Overview, where admins can use the Open approval requests widget to view all requests currently waiting for a decision and see who they are assigned to.

What happens when you save depends on where the approval setup you’re editing is configured. If you are editing an employee data change approval workflow in Automations (new approvals experience), Personio’s behavior is that open requests that still require approval remain in the original approver’s inbox and only new employee data changes submitted after you edit and re-activate the workflow will follow the updated approval chain (for example, with one fewer approver).

If, instead, you are changing an approval process under Settings > Automations > Approvals (legacy/default approvals), then open requests are automatically redirected to the new approvers and if there is no approver set for an employee after the change, the request is auto-approved.
