Subject: Automating digital signature requests during onboarding

Dear Community,

I am currently setting up our onboarding workflows in Personio and would like to ask whether it is possible to automatically request digital signatures from new hires during their first days as part of the onboarding process.

At the moment, my workflow looks like this:

  1. I create a task in the onboarding checklist asking new employees to sign company policies.

  2. After that, I manually generate the documents from templates and send the signature request to the employee.

I am wondering if there is a way to automate this process so that the documents are generated and sent for digital signature automatically once the employee reaches a specific onboarding step or on their start date.

Has anyone implemented a similar automated workflow, or is this currently only possible with manual document creation and signature requests?

there is currently no feature that allows a Workflow to directly trigger a E-Signature Process. Your workaround is perfect for your solution and I would’ve suggested the same. 

You could add our Workflow “Document created notification” :

This notifies employees that a document has been uploaded to their employee profile, allowing them to sign it. Alternatively, you can use a workflow that notifies you when a document has been uploaded. Unfortunately, the rest of the signature process must be initiated manually. This is because there is a quota for electronic signatures, which currently means they can only be executed manually.
