Personio + Contract Management: Best Practice?

Hi Personio Community 👋

I’m curious how you’re handling contract creation/management and e-signatures with Personio.

We’ve been testing Personio contract templates, but the editing options feel quite limited. On top of that, our plan includes only a limited number of e-signatures, so in some cases we still need to fall back to external tools (e.g., Word/PDF workflows) to get contracts out efficiently.

How are you doing this in your setup?

  • Are you managing contracts end-to-end in Personio (templates + signing)?

  • Or are you using a separate tool for contract management and/or e-signatures?

If you’re using a separate tool:

  • Which provider did you choose (contract tool and/or e-signature)?

  • How are you handling the integration with Personio in practice (native integration, Zapier/Make, API, manual steps)?

  • Any lessons learned or pitfalls to avoid?

From what I can tell, Personio doesn’t offer native integrations with many contract/e-signature providers, so I’d really appreciate hearing what’s working well for others.

Generally I try to stick to Personio, from contract creation to eSignatures. However, we often have to individualise some documents so I have to combine platforms.

I usually go ahead and create the document in Personio as a word document, download it and edit it locally on Word. Then, if only the employee needs to sign, I upload it as a PDF to Personio again and get them to sign it. As multiple signatures are not possible atm for an uploaded document on Personio, I use Docusign for these cases.

I would actually love the feature to individualise the documents within Personio directly. ☺️

btw, I thought the eSignature feature has been unlimited for a while now? Or is that just for certain plans?

Hi ​@SabbuSchreiber, thank you for the comment! I see, so you are still needing also to combine platforms. I agree that is not ideal and would be great if the workflow could be all done in Personio.

With our current plan (Core) the eSignatures are unfortunately unlimited. To get more signatures would mean to upgrade the whole plan to the more premium one (Core Pro).
