We have four working students in Germany. They all work 3 days a week and based on their 12 month contract receive four weeks of vacation - so they get 12 days of vacation. But for about 2 months of their working year, they switch to a 5-day week (during the non-lecture periods). We would like to recognize these extra days and give them the correct amount of vacation, which will likely be more than just 12 days because their average work days per week would actually be more than 3. Is there any way for Personio to account for this, or do we just have to give them 12 days of vacation?

If your working students are on a part time contract (3 days a week) and need to move to full time (5 days a week) for 2 months, you can update this by adjusting the working schedule. Once you adjust the working schedule from 3 to 5 days, they will receive an updated and increased absence entitlement for these 2 months. Please remember to update the weekly hours within the employee’s Personal info tab also.

After the 2 months are over, adjust the working schedule back to the 3 days a week and it will prorate the entitlement based on 3/5ths of the week.
