Hi there,

we have an employee with a work schedule of 37 hours per week, but it is split into 4x8 hours and on Fridays he works only 5 hours. I have set the annual leave absence accrual policy to days, and set to proration. But the system does not seem to distinguish between the 8h days and the 5h days when annual leave is taken. I thought it would take a prorated, i.e. less than 1 day, for the 5h days, and 1 day for the 8h days. How can we solve this issue, as the employee, every time they take only Fridays off, get taken a whole day off.

Hi @Jessie,

Your question is similar to this previous question from another Community member: Annual Holiday Entitlement for part time employees

Personio calculates prorated absence entitlement based on how many days a week your employees work. This means, that the system does not take working hours into account. If your part-time employees work 5 days a week but less than eight hours on one day, they will be granted the full absence entitlement based on them working 5 out of 5 days. The automatic proration of absences is therefore only helpful for employees who have less than 5 days a week on their work schedule.

In your case, for the employee that works 5 days a week but less than the full-time hours, the best solution is to manually calculate their absence entitlement and create a new Accrual policy for them with this entitlement.
