Converting an employee into a Board Member (inactive user) in Personio

Hi,

I have a question regarding employee status in Personio.

Is it possible to convert an existing employee into a Member of the Board, so that:

  • the person remains visible in Personio (for documentation / organizational purposes),

  • but is not considered an active employee (no payroll, no time off, no operational access)?

Ideally, we would like to keep this person in the system as a Board Member without affecting headcount, reporting, or HR processes.

If this is possible:

  • what would be the recommended setup (e.g. custom employee status, role, or contract type)?

  • are there any limitations we should be aware of?

in our system you have the 4 different status types: Active, Onboarding, Leave, Inactive. Do I understand, that this person won’t actively be part of your company, but is externally attached?

What might work could be, that you keep this employee profile and use the employment type “external”. This comes with some extra functionalities, e.g. this person not being included in the payroll. Our reports are usually pre-filtered by employment type “internal” as well. Once set up, you can apply this employment type for nearly everything. Filters, workflows, …

That is the best I can think of at the moment. If there are some specific things missing that would come with this specific employment status, please push all your ideas and feedback in our in-product feedback area so that our product teams can take it on. :)
