In order to be able to create documents from the templates saved in your settings, employees need edit rights for the corresponding document category. This has the disadvantage, as you have already stated, that they are able to delete documents saved in that category within the profiles.
In this case, I have two ideas which could help to solve the situation:
- Giving your employees proposal rights for the category, so they can download the document, fill it in in their computer, and upload the document again. With proposal rights, your employees will not be able to delete the document.
- Creating an extra document category in which your employees should upload the created document. This way, you would have two document categories. For one, your employees can have edit rights to use the templates and for the other only proposal rights in which they can upload the created document. The extra step here would be to download the created document and upload it in the corresponding category.
I can imagine that these might not be such ideal solutions, this is why I would like to encourage you to post a suggestion of improvement in our ideation area. This way, other users will be able to vote for it, and the suggestion will be shared with our product team.
