I would like to create a workflow, actually three workflows, which are all reminders for us, the HR team, to be aware of the expiration date of the working permit of our employees. I tried to create the workflow myself, but It doesn't trigger. I was wondering if I could get some help in figuring out the correct configuration for the workflow.

As context, this might be useful. I tried to create the workflow myself, and made it so that I receive a notification based on end date of contract, but only for people who actually have a permit, but for some reason it is not triggering the notification, so yeah would be amazing if there’s an alternative way to do this :)

Is it a workflow you need? ie are there tasks you want to assign based off of the visa expiring or is it just the notification you want to receive? 

 

If it is just the notification you want to receive, I would set up a role based reminder. 

 

From the information you have given, you would want to set it up based on a ‘contract end date’ and then filter by people who are on Visa’s (presumably you have an attribute you can base this off) 

 

And then choose how long before you’d like the reminder. 

 

If it is a workflow you need, can you share how you have set it up, perhaps a screenshot of the trigger event?

What i would like is definitely a workflow, so that it also triggers a task for me to do, this way the system will always show me that i have to do it until I mark it as complete. 

The way I set it up is that I have the workflow relative to a date which is the employment end date. I set it to trigger 100 days before. And as a rule it only triggers for people who as their residency have a type of permit which requires renewal so for instance in the Netherlands this is: Highly skilled migrant, orientation search visa, or Orientation year. As a recipient I put myself & the person who’s permit needs to be renewed. And I assigned the task to myself. So yeah to me this seems quite straight forward, but for some reason it doesn’t trigger the notification.

So from my understanding, your workflow is set up like this (with different Visa types)? 

 

 

If so, then I would say it is set up correctly. 

 

If the date you changed yourself to is within the 100 days, perhaps try setting it to 101 days and then seeing if it is triggered the next day, as it may be that the trigger has been missed that is causing the test to fail. 

 

 

If that doesn’t work, I would raise a support ticket.

Yess that is exactly how I set it up. Mhhh okay I will check if I can make it work by changing the date it is supposed to trigger.

Hello everyone,

Since we already receive reminders on our shared dashboard and then manually send email reminders to employees to extend their residence permits, I’ve been thinking of streamlining this process with the following workflow. Unfortunately, I’ve been unable to set it up due to limitations with date attributes.

The goal is for Personio Workflow to automatically send email reminders to employees one month before their visa expiration. However, I’m struggling to configure this, as the only triggers available are related to start and end dates or return from leave, none of which apply in this case.

Can anyone help me understand if setting this up is even possible and if yes - what would be the best way forward?

Those are the only date related attributes you can currently trigger workflows based on, I would use the ‘give feedback’ button to request the ability to trigger workflows of all date attributes. 

 

There are 2 loopholes you could use in this situations:

 

  • I have seen another user use the ‘contract end date’ as the VISA expiry date and base the workflow off of that, but this may not be suitable for everyone. (If you do this, remember to filter by a VISA related attribute so that your FTC people don’t get emails). 
  • Otherwise you could set up a scheduled email to go out at a frequency that suits you, reminding all people with VISA’s to check their end date and that you’ll need renewed documents once the individual receives them.

Thank you so much for your response! Unfortunately, I don’t believe any of the  approaches will work for us at this time, so I’m hopeful that Personio will expand the available attributes for triggering events.
