Last week we held our "What's New" for Q2, recapping what we are releasing this quarter.

A big thank you to all who were able to participate in our live event! We had so much to cover, we didn't get to as many questions in the Q&A section that we would have liked to. We'll try and cover a few here that we did not answer live.

  • Document Management Hub -  Our new document experience gives HR one central place to search, filter, and manage employee documents. No more jumping between profiles or repeating the same tasks. With bulk actions and DocuSign integration, teams spend less time on admin and more time staying productive and in control.

Q&A recap: 

Here are a few top-voted questions that we didn’t get to live. Next time we’ll make sure to leave more time for this section so we can get to more of what you want to know about. 

 

Q: Are you planning to integrate AI to summarize multiple feedback forms in P&D?

A: This is something our team is currently working on, and we plan to have this available later this year.

 

Q: What if the manager leaves the organisation can you still see their past P&D? Will they display with no known name, but comments and feedback are still visible?
A: If a manager leaves, their past reviews are still accessible, including their name, comments, and feedback. Their name is removed only if the employee is deleted from the system.

 

Q: With the DocuSign integration will I be able to create documents with text fields, etc? or just signatures?

A: Document creation will work the same way as before and creating Document templates, along with all their system and free text Placeholders will remain possible.

Q: Will it be possible to weigh the performance for e.g. a skill/question differently, depending on the seniority of a person?

A: This is something we are currently working on as part of our new Competencies and Career Frameworks feature. We plan to release this towards the end of Q3.

 

Q: What about bulk uploads for promotions that we want to get signed by HR, manager and employee. Is this possible?

A: You can create promotion letters from a Document Template in bulk. You can select multiple employees in the Organisation tab, use the bulk create tab and use a template. At the last step of this process, you can also set up signature requests.

 

Q: How are review cycles linked to each other - let's say you change questions. Is it still easy to see the history?

A: Cycles are linked in that you can see past reviews and feedback when writing self or manager reviews, so you can definitely still see that history even if questions change over time.

 

Q: Do employees get notifications about pending signatures still? Via email for example.

A: Yes, reminders will be possible to be sent, they will just link to inside Personio where the document can be signed

 

Q: Do flexible schedules impact the 600 schedule limit? With differences between weeks?
A: Yes it does count towards the schedule limit, but only once per work schedule you would store in settings. For example, if you create a flexible schedule with 3 working days per week in the settings, you can assign as many employees to it as you want. If employees update their work schedules it will still only count as 1 schedule in settings

 

Q: For Onboarding - does this mean that new employees have full access to Personio before they join the business? Before they have access to their company email?

A: Just like with the current manual invitation process, the employee, once they create an account, will have access to all the information that's available to them based on their role and the associated access rights. The invitation email can be sent even to their private email, provided that is the email that's specified in their profile at the time of the invitation being sent.


Q: Have supervisors the same view on the pending documents for their team? To help track what still needs to signed?
A: Yes. Access to the new Documents Hub will be controlled by a new access right. If you give permission for Line Managers to the feature, they will be able to track all documents that they already have access to (eg: their line reports' documents) in the feature.

 

Q: How many documents can you sign per month? Is there a limit in Core subscription?

A: For Core customers it's 8% of the number of employees per month, working out to be about 1 per employee per year. For Core Pro, it is unlimited. 

 

Q: Is it possible to have more than one employee sign the document? eg. employee and supervisor?

A: For documents created from templates, where signature placeholders are correctly set up, this is already possible. For documents that are uploaded from a file, it's currently 1 signer only, but we will be looking to improve this in the next few months and enable more signers. This will come after and separately from the initial release in the demo.

 

Q: When the joiner creates their account, the demo shows they add a password. How does this work when we use SSO?

A: With SSO this would work very much the same, just without the password step. Once invited, they click through, and after being routed through your SSO provider they would also land in the initial onboarding experience.

Q: Would it be possible to schedule the same cycle three times within the year, without having to create three different cycles ?

A: Not yet, the easiest solution is to create the cycle, duplicate it, then modify the dates. However, better review automation is top of mind for us and we are exploring a few different options for H2.

 

Q: For which reviews can we use the Matrix - currently it's not possible to use it for each type of question. Correct?

A: The question comparison / matrix works for any numeric or descriptive scale, binary, or traffic light question type.

The new Onboarding features will start rolling out later this month, and the Documents Hub updates will be live by the end of the month!
