Personio Recruiting: same email in agency applications

Hello community!
I’m reaching out to ask about your experience with applications from your recruitment partners via Personio.

Our agencies are using tracking links to submit their candidates and we agreed they would use their own emails to receive application updates and to email them from Personio.

We had a case when our recruiter used her same email for 2 applications, so the system made them linked and automatically duplicated name for the other candidates, though these were completely different profiles and different tracking links.

I wonder if there’s any chance for agencies to use one email for their applications and avoid duplication or does it have to be a new email for each candidate?

Personio Recruiting uses the applicant’s email address as the primary key.

That means that the applicant, and at a later date also the resulting employee, is identified solely by the email address used, which is probably the reason for the behavior you are describing. However, if you want to keep your agency in the loop on applications, you can add their email address as CC or BCC for emails you send through Personio Recruiting.
