Is there a way to change approved overtime automatically in flexi time?

Flexi time is part of a working time model where employees can accumulate extra hours during peak times and take time off later, as long as their total hours stay within an allowed balance.

Overtime refers to hours worked beyond the standard contractual hours and may be eligible for: Pay or time off in lieu

In our Personio instance you can’t request to take overtime off. The only way is leave your work day hour empty (that will reduce your overtime balance)

We do have Flexitime, you can request it and your supervisor can approve

I’m looking for the correct balance as overtime off is general used as flexitime with the consequences that the overtime blances remains the same and the flexitime balance is negative.

Question: can I create an request overtime off that reduces the approved overtime balance or can I change automatically the overtime in flexitime. Overtime reduces and flexitime is positive that en employee can request.

I’m afraid I don’t follow completely. However, we also have flexitime at our company. Allow me to share how we do it?

Flexitime for us is defined similarly to yours. While the weekly working time stays the same, employees are allowed to schedule their work individually and flexibly. Meaning, they can also decide to work less one day, more the next, etc.

We do not have an approval flow in place for this and have their time tracking approved automatically. What we do however is check the overtime balances each month and if necessary, talk to the respective employees who’ve been working too much. Or not enough for that matter. Some build up some overtime to then add some days off before or after their holidays to have a longer vacation, others simply have too high of a workload, etc. 

But regarding Personio, whether they work less hours or more, it always either deducts from their overtime or adds to it.

Honestly, I’m not even aware of it being possible to have two balances, one being flexitime and one overtime. Maybe that’s something new? 🤔
