Hi there,

 

New to Personio and soon to launch the system. 

We will not be using the Attendance tab. However, we want the manager to be able to add overtime for employees, for example. Adam Fox worked 4 hours on 28/08/2025 doing manual production. We then want this to go for approval to our FD, and finally for me to extract this as a report for payroll.

 

Is there a way to do that over than flexible working and using the attendance tab. All suggestions welcome. Thank you :)

Our workaround, as we don’t use the Attendance functionality, is to have a ‘time off type’ called TOIL.

Line managers email HR (outside of Personio) to confirm overtime earned, and we add the relevant number of hours to the employee’s TOIL allowance. Super manual, and not ideal, but the best option we have found without using the built in time tracking option available in Personio.

You could have the FD as the Approver for the the TOIL time off type?


@HRJoy we do have our MD approving overtime. Currently, on People HR, this is done through a logbook by the line manager who submits how many hours employees worked, etc. This then goes to our MD for final approval, and I can run a report for payroll every Monday.

 

We looked into creating a new absence type - overtime. The trouble is our production guys work overtime on Sat & Sun and the work schedule does not allow it...

If you’re only tracking overtime in the attendance tab, you could set up a work schedule similar to how we set up the freelancer’s work schedule as their actual work hours are invoiced on a monthly basis.

So basically you set up a work schedule without any settings except those:

and I believe within the workflows you can create an approval flow. :-)

@SabbuSchreiber  Thanks. Does this involve inputting this every week? we have 30 employees that would require this and this would create a lot of work.


so, once you assigned the work schedule, they would only need to track/add their overtime. Is this what you mean?
