Hi All, 

Our current annual leave year runs from January to December, but we are going to extend this year to the end of March and then run from April to March moving forward.

It doesn't appear that I can edit the accrual policy assigned to employees, so I wondered if I add the 3 months accrual onto this year's balances, will it then cancel out come January when the new annual leave year is due to start?

I have a couple of questions regarding your inquiry, to see if I am understanding the details correctly:

  • From now on, your employees are allowed to use any absence day left from their annual leave’s entitlement until the 31st of March. Normally, they would be allowed to use the days until the end of this year, is this correct?
  • From next year on, the entitlement should be granted on the 1st of April and the employees can use their absence days until the 31st of March 2024. Is this correct?

Thanks for the welcome.

Yes, you are correct, the holiday year will now end 31st March 2023.  Then it will run from 1st April 2023 to 31st March 2024.

On the moment, this is a process which is complicated to set in Personio, because of two reasons:

  • The carryover limit of absences cannot be changed for a certain year, thus, adaptions made will affect the absence balances of your employees also for the past. 
  • Within accrual policies, it is not yet possible to set a custom date for the start (and end) of the absence period. This is a functionality which is being developed and will be released next year. Right now, absences can only be granted on the hire date of the employee, or on the beginning of the year.

Since the last mentioned functionality is planned to be released next year, I would recommend adjusting the absence balances of your employees as you mentioned in your post. If you undertake this adjustment for a date before January, it will not cancel the absence days granted in January, when the new annual leave year is due to start.
