đ¤ FAQ: What access rights are needed to be able to undertake manual adjustments of an absence balance?
Dear community,
Within the employee profile, on the absence tab, you can adjust your employeesâ absence balances. This is relevant for those absences which have a certain entitlement, for example, vacation days.
Many admins would like to enable determined employees, such as supervisors, to adjust other employeesâ absence balances. For this they often ask us:
What access rights are needed to be able to undertake manual adjustments of an absence balance?
We would be more than happy to hear your suggestions about this topic!

Good morning @Wendy, @Kate, @Vida, @Bojana, @FrederikeEÂ ,
I hope you are having a great week so far!
Did you hear about our game? We are sharing some FAQs with you to challenge your Personio knowledge. Give it a try and earn one of our special badges!
Let me know if you have any question about how the game works.
I wish you an amazing day .
Best,
Andrea
Hey @Andrea,
:D Nice way to engage the community, and hopefully to cause some Personio improvements as well (though identification of stumbling points which could use some improvement).
That being said, back to the topicâŚ
As far as I know, there's only a way to allow roles to "view" balance (including manual modifications) and that could be set via "Absence/Balance history" permission section (Propose and Edit columns are empty, thereby not allowing granting permissions tied to those actions).Â
On the other hand, super-admins can do manual adjustments of balance without issues.
Â
Invite for the community: please make me wrong and show me how this can be done. :)
(P.S. I'd like to be in the same situation when it comes to some other rights that are tied only to super-admin role while we'd greatly benefit from having ability to create sort of a IT admin role and to tie certain permissions to it (currently reserved only for super-admins), hence ensuring that sensitive data is not exposed to such roles since it should remain in the scope of HR team, while empowering IT group to help out when needed.)
Â
Cheers!
Vida
Hi @Andrea,
I'm not quite sure if I understand the question. You're talking about a game? Could you please enlighten me in what you like te know?
Â
If you would like to get the conversation started - I agree with Vida, it would be most helpfull if other employees/ supervisors could set the manual balance. Â
At WisMon we don't really have the problem of setting the abscence balance. At this moment we have a policy of unlimited vacation days and it is fine for us if the abscence balance restarts at the first of January.Â
Kind regards,
Wendy
Hi @Wendy ,
Thanks for your response! Yes, this is a game to motivate you to comment and answer other userâs questions tin the future.
So basically, in the next weeks I will be posting one question per week and you can add a hint on how to solve it or a whole answer just as Vida did. Depending on how much hints, comments or answers you post, we will grant you a Community badge at the end of the game (mid December). The questions we are posting are frequently asked questions wer receive from customers.
You can see the details of the game here:
I hope I could make the activity clearer for you! Let me know if you have any other question.
Best,
Andrea
@Andrea Just so you know, I am still hoping that you'll come and say: "No, Vida, Personio can do it now and this is how you can grant such permissions to non-super-admins). ;)  No pressure.
Since I am in "make a wish" mode, another one would be "Vida, when you wake up tomorrow, you'll be able to use Personio mobile app even when you have 2FA enabled".
Good morning @Vida ,
Thank you, foremost, for commenting on the game! I am looking forward to your participation for the further FAQs .
The aim of the badge game is to motivate you to answer each other questions and support your peers. Today itâs the FAQs you are answering, but tomorrow it could be another userâs question you are sharing information for. As part of the game, one week after publishing the FAQ I will mark the right answer as âbest answerâ, or share the answer with everyone. The more you participate, the cooler badge(s) you will get!Â
I hope I donât disappoint you , but the game is not meant to substitute our ideation area, or to gather feedback to implement it right away. I hope it was not understood this way!Â
The good news is that there is already a way to enable non super-admins to adjust absence balances (this is not a new feature). Letâs see if someone else knows the answer! If itâs not the case, I will let you know soon.Â
Have a great weekend!
Best,
Andrea
Of course. All clear there.Â
I just couldn't resist making a wish or two. ;)
Jokes aside, I'd be happy to learn from what you are sharing.
Â
When it comes to this question in particular, here is a proposal for the ideation area:
Right now, the only ways a person would have a right to do this is either if he/she is in the admin role or he/she is in the role that has Account configuration >Â Absence set to "All".Â
Nevertheless, in my humble opinion, this is not aligned with usual "Personio modus operandi". Expected path (given other Personio flows) would be that it's possible to grant Adjust Balance permission through Roles > Absence / balance and have regular options to "view"/"propose"/"edit" with standard set of options "Own", "My reports", "Custom" (this one being very important as well), "All". All these options are particularly important as they bring needed flexibility.Â
It's highly unusual that this type of the setting would be in "Account configuration" (account configuration should be about account configuration, right?) and that you can only assign it to the whole role that then can have only "All" or nothingâŚÂ This could provoke unwanted behavior such as: people creating "Balance adjuster" role whose members have to be chosen with care, because for them it's also "All" or nothing. And this doesn't really solve the problem...
Anyway, to answer your question, there is a bit of space to achieve this, but it's opposing general Personio principles and is simply not sufficient. We expect more from you. ;)Â
Not a critique here, just a suggestion for a further improvement. :)
Have a great weekend and keep up the great work,
Vida
Â
Dear @Vida,
I can see you are a real Personio wizard and knew the answer right away ! I am very glad you are participating in the FAQs and sharing all your hints and knowledge with other users.Â
I can understand why it is not ideal that the access rights to adjust the absence balances enables the configuration of absences within your accountâs settings. It would be great if you could share this in our ideation area though, since as stated before this is not the aim of the FAQ game. You can always share with us any critique, suggestion for improvement, or anything that would make Personio even better for you and your work. Please keep sharing your feedback with us, itâs really appreciated!
I just want to make sure and clear that the FAQs are not meant for you to share suggestions for improvements here. If it makes you realize that a feature is not ideal and that you would like to share improvements with us, that is great! But I would kindly ask you to please share it in the ideation area as always, so that it is voted for and shared with the product team .
I will post a new FAQ this week, I am looking forward to seeing your hints about it!
I wish you a great start into the week .
Best,
Andrea
