Hi all,

I understand there is no option to limit the carry-over days from last year to a certain amount.

There is a manual describing how to adjust the carry-over days. I have a question about the other way. Namely: Personio carried over the vacations from last year but I would like to deduct these days if they are above 10. How can I do this? So far if I adjust with - in front of the amount I only can change the “whole” entitlement for the year but not the carryover.. See here below: I need to reduce the 22,5 carry-over days to 10. How can I do it without this being shown in total entitlement for the year but by the carry-over days only? Thank you, Petra

Hey @binnepet,

Welcome to the Personio Community! 😃

I will be happy to guide you on this. Carryover days can be reduced and re-entered in a few steps of which I will outline below.

First of all you will need to use our Custom Reports function to retrieve the vacation balance for all relevant employees on the 31st of December 2022.

Here is an example from my demo account:

You will then click on the Export function located in the top right hand corner of the report.

Now you have the employees balance for their Paid Vacation absence in Excel form effective the 31st of December 2022. You will then go through this export and limit the amount of carryover days these employees can use. For your example you will reduce 22.5 days down to 10 days within here.

I would then advise downloading our EN Accrual Balance Upload.xlsx template and copying over the relevant information from your Excel file such as email, absence type, balance in days and balance date into this template. The balance date will also be the 31st of December 2022, as this will ensure these days are counted as carryover days.

Once you have downloaded the template and copied over the relevant information into this, we will now use the Import function (Accrual Balance Upload) to upload the new absence balances into the employee's Absence tab.

After you have done this, this will now show the correct amount of carryover days as requested. These days will then expire if not used by the carryover expiration date.

I will be happy to assist you further if you run into any difficulties.

Best,

Conor
