Hi, 

We have a few part-time employees whose workday varies in length during the course of the week. We have them set up as hourly workers with their work pattern/hours detailed in their working hour schedule. 

Currently Personio pro-rates for the number of days per week worked, which calculates their allowance as shown below:

 Is there a way to pro-rate using the following calculation:

 

As you can see there is 24 hours of a difference between the two calculations.

As you mention in your post, Personio calculates vacation on days and not on hours. For this reason, it is not possible for the system to calculate the prorated vacation of your part-time employee the way you shared. In this case, I would recommend making an accrual policy for part-time employees so that the calculation does not have to be automatically determined by the system.

Thank you for the above response to my question. I’ve had a look over the Configuring Part-time employment link you advised. I’ve checked that our part-time employee’s weekly work hours and work schedules are set up as advised, which they are. 

Can you please explain the accrual policy for part-time employees? we do have one set up for those employees whose leave is calculated in hours but as advised in my initial post, the system is pro-rating on days which is incorrect for the way in which we calculate in hours.

The accrual policy for your part-time employees should either be one policy for all that should not be prorated, or you can adapt the entitlement for each person. 

  1. If you choose to create a policy for part-time employees, it is important that you deactivate the proration of absences in the employees’ work schedule:
Settings > Work hours and absences > Attendance > tCorresponding work schedule]

This way, Personio will not prorate the absence entitlement. In this case, you can set for example an entitlement of 15 days for the accrual policy of all your part-time employees.

  1. The second option is to leave the accrual policy the way you have it at the moment and to undertake an adjustment of the entitlement, either manually, or through an import. You can check out a step to step guidance for this process in the following article:
