Hi all,


I’m trying to find out how to better use the Automations feature on Personio and I’m curious how other HR Leaders do it. If you do, would you mind sharing which tasks more exactly do you use automations for?

Really great question ​@andra.enache ! We’ve got a few folks in the community who could be quite helpful here so I’ll share this around. In particular, ​@People Person is, as I like to call her, our Workflows Wizard around here. 😄

I wouldn’t say that we are experts in Automations just yet, but here’s what we use them for right now: 
 

We just added the ‘New employee - onboarding starting’ workflow; it sends an email to the Supervisor, Finance, QA etc, each with a different message according to the action required. This was based on feedback from Supervisors in particular not being quite in the loop around when their new employee had started onboarding.

We also use a mixture of ‘notifications’ and ‘emails’ dependant on who is involved in using the workflow and how they work best. For example I’m in Personio every day, so a notification is great, however for some of our colleagues, who aren’t using it as regularly, an email is better.

Thanks! this is extremely useful. I think it’s going to be a trial & error with different actions/stakeholders. What other automations do you use for supervisors?

I have about 30 automations set up for different things such as: 

 

  • notifying teams of starters or leavers 
  • Notifying our people team of mental health related absences 
  • When an employee becomes a people manager 
  • When an employee changes personal data, to ensure they notify their pension and benefits providers
  • To ask managers to complete return to work after sickness
  • To ask employees to complete form when requesting work from anywhere absence 
  • To remind managers when employees require a fit note for sickness

 

Hope this gives inspiration!
