Hi,

 

I have a question regarding a customized field called “entities” (not the pre defined Legal Entity) in Personio and the report function that comes along with it.

 

We have the following Situation.

 

One of our Entities was renamed back in the days.

 

(fake names)

 

Test Company New

Old Name of the Company

 

 

The old name of the compnay can’t be changed because it is a fixed field just the New Name is editable

 

While you can only choose “Test Company NEW” as an Option in the profiles there is only the old name when you pull reports with the Attribute "Entity". Can we somehow ensure that the new name is displayed in reports? If not, what would be the work around? There is no way to have both names in the profile, so that it shows that from day "x" on there was a name change?

 

also just asssuming there would be an additional renaming, this would mean that the second name wouldn't be shown anywhere, correct, because only the initial name and the current name are somehow recorded?

 

AND if we create a complete new entity with the new name we have to change roles and Workflows again, correct?

I’m not sure I fully understand but I’ll give it a go. :-)

We have several entities as well but so far didn’t have to rename them. But I imagine that the name on the report depends on the report timeframe (I’ve had this issue once with employee names that changed).

Could you share some more details as to what kind of report you want to pull? Or, am I even understanding your question correctly? 🙃

first of all Thank you for your comment.

 

The thing is that you don’t enter a date anywhere.

 

Meaning:

 

you have an original value on what you build the entity:

Let’s say the entity name was “Entity1”

 

Then there was a renaming.

The fixed value stayed the same but you had an open field where you could enter a new name “Entity 999”.

You are not able to enter any date there.

 

So if you want to select the entity now in Personio and assign it to a person you can only select “Entity 999”

If you are pulling any report that is containing the Field “Entity” it shows as a value “Entity1” regardless the Date.

 

Maybe worth to mention.

“Entity” is a custom field, so I could imagine that this would potentially happen to all other custom fields in case you rename it.

I’m still confused, sorry. Or maybe my brain is just not working ahah 😄

So for a custom field, you renamed one of the options to select? Or did you create a new option? And I guess you’d want to edit this in the people’s profiles? Because normally you’re able to select an “effective from” date for any attribute you’re changing.

→ YES

 

And I guess you’d want to edit this in the people’s profiles?

→ NO, I just figured out that if you want to change it the renamed option is availabe but if you pull a report with this custom fiel only the old value is showing up. 

=> So if I were about to change the entity in the employees profile itself, then I can set an effective date that is correct, but I can’t for renaming the option under the custom field.

 

I don’t know if it’s now clearer :D

Great, thanks for clarifying! 😃

This might actually be something technical. But just to try as a workaround, what if you bulk update this attribute for each employee anyways, maybe with effective date 01.01.2025? And then try to pull the report again?
I don’t know if this would solve it but might be worth looking into.
