2024 was the year of Workflows here at Personio and for the thousands of businesses that looked forward to ‘Automating the mundane to focus on the meaningful’, we had a lot of exciting product features for them to explore. 

We were thrilled to launch our first wave of revamped Automation suite of tools earlier in 2024, including pre-built workflow templates for prominent HR use-cases, a customisable workflow builder and a workflow monitoring experience to maintain a birds eye view on your workflows at all times. 

Since this first launch, we’ve also launched incremental improvements to bolster our Automation offering and help make your people operations more seamless. Here’s a recap of all things Automation - so that you can get ready to level up your workflow game in the new year! 

 

Trigger and attribute improvements 

  • Date conditional triggers: A trigger type that lets you execute a workflow based on a date e.g., an absence start date or hiring date, or a set number of days before or after the date.
  • Scheduled trigger cadence options: A scheduled trigger can enable you to activate a workflow daily, weekly, monthly, annually and now quarterly 
  • ‘OR’ operator: The inclusion of the ‘OR’ condition enables you to add alternatives within a workflow set-up e.g., Office is Munich OR Office is London
  • Custom/expanded attributes: You can now leverage custom attribute types as conditions and rules in workflows.
  • ‘All Employees’ as recipients: You can select “All Employees” as recipients for workflow actions like notifications
  • Sub-company attribute: You can enable the sub-company attribute in conditions and rules
  • Variables in tasks and confirmation actions: You can select trigger based variants in the task and confirmation actions


Workflow operation improvements 

  • Renaming workflows: You can rename your workflows even after executing them to keep them organized and easily searchable. 
  • Template categories: The addition of template categories makes it easier for you to browse workflows based on your specific use case such as ‘Absences’ templates, ‘Document’ templates, etc. 
  • Editing active workflows: You now have the ability to make changes directly to workflows, and choose to save the edits as a draft or activate them immediately.
  • Approval chains: You can assign up to four approvers per step, and create up to five steps in a workflow
  • Add multiple conditions: You can choose to trigger the workflow only when all conditions are met or when any condition is met.
  • Broken workflows communication: You will now receive error messages (email and Personio Inbox notification) whenever a workflow fails to be triggered, so that you can promptly investigate the cause and find a fix quickly


Work Management improvements 

Redesigned Inbox: You can now experience a revamped Inbox that spotlights your most critical work, front and center. Along with a homepage widget where you can action your work quickly, we also launched a full screen experience where you can access all of the details you need to complete tasks quickly. 


Document Management improvements 

  • Bulk document creation and bulk e-sig requests:You can create documents in bulk with easy-to-use templates and send them to multiple recipients at once to be signed, at scale
  • Automated e-signature reminders: You can send automated reminders to document recipients to get them to complete signing documents without any manual intervention.
