Hi Everyone, 

 

I would like to know more about Data privacy settings from a recruitment perspective and how it behaves based on Candidate stage and position status. 

Could you please help me to clarify the below scenarios to indicate if Candidate data will get anonymised or not?   

Scenario 1: 

Position Status - Published 

Days since applied - More than 90 days 

Candidate Stage: New or HR Interview but not Rejected or Hired

Scenario 2:

Position Status - Published 

Days since applied - More than 90 days

Candidate Stage: Rejected 

Scenario 3:

Position Status - Draft 

Days since applied - More than 90 days

Candidate Stage: New or HR Interview but not Rejected or Hired 

Scenario 4:

Position Status - Achieved 

Days since applied - More than 90 days

Candidate Stage: New or HR Interview but not Rejected or Hired

Scenario 5:

Position Status - Achieved 

Days since applied - More than 90 days

Candidate Stage: Rejected 

 

Can you share best practices for handling positions in Personio for new hires and replacements?

On Personio there are two options when it comes to anonymizing candidate data:

  • Automatic anonymization
  • Manual anonymization

For the automatic anonymization, you can select how many days after a candidate was rejected or withdrew from the process, that their data should be anonymized. 

For the manual anonymization, you can anonymize singular or bulk candidates data based on the time you desire. For this option, it will be useful for cases above whereby you have differing stages where you need to anonymize the data.
