How can I ensure my own working hours (as a Superuser) follow the approval workflow?

Hi everyone,

I hope you’re doing well.

I have a question regarding the time-tracking approval workflow in Personio.
I am a Superuser, and I noticed that my own working hours do not go through the approval workflow — they are automatically approved without any validation step.

For all other employees, the workflow works correctly and hours must be approved by their supervisor.
However, as a Superuser, my entries skip the approval step entirely.

My question is:
Is there a way to configure Personio so that my own time entries also follow the approval workflow and must be approved by my supervisor, without removing my Superuser role?

Thank you very much and have a nice day. :)

Hi @Karbinator 😊

What @LegoMD says is actually right. For every Admin and employee with edit permissions for their own attendance data, the approval workflow for tracked time is no longer triggered. The only option to trigger this for those groups would be to take away the edit permissions and for admins to no longer be admins (but e.g. admin lights).

I totally understand though, that especially the admin role is something that some users need and can’t just “give up”. So I would encourage you to send this feedback through the new ‘Give feedback’ feature directly in your Personio account. Submissions will be forwarded directly to the relevant product teams. You can find more information in this community post.

Hi @Moe ,

Do you have any ideas or know anyone who could help me?

Thank you very much.

Hi @Karbinator,

I’m not sure if that’s possible and we don’t use approval workflows for attendance on our end. Maybe @HRJoy or @LegoMD know more? :-)

FYI, Moe is no longer with Personio but @Daniele is.

Sorry - we don't use the time tracking function, so not one I can help with, apologies!

Hi folks, thanks for the tag :)

I forwarded this request to a colleague from Support a handful hours ago, let's see what they say!

Hi @Karbinator

I remember that when we implemented Personio, our Implementation Manager told me that it’s possible to set this up in the system. My logic says that you should create a “restricted admin” role instead of giving full admin rights if approval is needed.

@Daniele If you could please check whether this would work, that would be great. :)

Have a lovely Thursday!
