Hi community!

We recently opened a legal entity in Brazil, and as a result, we’ll need to adjust some policies, including the time off policy. Legally, employees are entitled to 30 days of vacation, which renews after one year of employment and continues accordingly. Our Brazilian entity was officially established on May 14th, 2025, so we’d like all employees to have 30 days of time off to use by May 13th, 2026.

 

A few questions:

  • Is it possible to set up the policy so that it renews based on each employee’s hiring date instead of the calendar year?
  • If so, how can we assign this policy to all employees? Does it need to be done manually? Would we need to terminate and rehire everyone as of May 14, 2025, for the vacation period to align correctly?

Within the Time Off type, you can actually create a new policy and within the granting settings, choose the employee’s work anniversary for when the accrual should start:

 

 

As for assigning this policy, you can simply bulk assign the new policy in your employee list. 😊 You can select the affected employees and when you then click “Edit time policies” → “Change time off policy” and follow the steps.

Yes you’re right, but then in that case you just choose the specific date and change this to May 14th 😊

or, if it’s easier to have an entitlement from January to December, you set it up starting January 1st and this year you add the accrued entitlement from May 14th to December 31st manually to people’s profiles. :-) But either way, it works the same


@SabbuSchreiber thanks! Do you know if choosing May 14th as a specific date, Personio will make the time off proportional until the end of this year?


I don’t know for sure but I actually don’t think so. There are some proration settings you can choose from but if a year for you is 14.05. to 13.05. it should work. 😊 maybe just test with one account to see first
