Good morning and Happy Monday, folks!

Welcome to the first day of our fourth written Ask Me Anything event. This time around, we’re taking on the Analytics Area. 

Curious about Analytics and Reporting in Personio? Perhaps you’re looking for some best-practice advice? This is your chance to ask! Our colleague Lisa Jones, is our Product Manager for Analytics, will help us answer all of your questions in this regard. 🤩
Product managers are responsible for guiding the development, launch, and ongoing improvement of specific areas of Personio.
 

A quick reminder on how we’re doing this

A few tips:

The forum tool is what it is, and it’s not possible to “reply within a reply”. So let’s try to keep it tidy and organized so the comments don’t all get mixed up:

  • If you have specific questions about the product, please explain your question with enough detail (include screenshots where needed)
  • If you use the ‘’Quote feature to reference/reply other comments: that’s great! But please try to delete any irrelevant text from the quote so we avoid super-long “quote chains.”
  • If you participate you will be notified via email about the next comment, but not about future ones. So keep an eye on this post :)

Hi, my biggest concern and question is regarding real time data in the reports. I am used to in other softwares, that all information in the reports is accurate and live all the time. E.g. if I change and employee’s “Team” to something else, I would assume that it would be correct the very next second when I refresh my report in Personio. Unfortunately, this doesn’t seem to be the case in Personio?

I need to take out reports on a very ad hoc basis every now and then and need to be able to rely on accurate data.

I’m also tagging ​@JHBEM as I know the topic was important for him as well.

Hi ​@Edda van der Ende 

Thanks very much for your question. We’re aware of this as a need for our customers and are working on our data platform to enable a more real time view of data after an update. We should see some improvements to this across all product areas in the first half of next year. 

In general, our reporting updates shouldn’t take much longer than a couple of hours - with most happening within 5 minutes, so please flag if you’re seeing any longer than that.

5 mins isn’t suitable and I’ve shared instances where it is taking days.

If it’s not real-time (i.e. instant) then it is not suitable in Exec. meetings where we need to see the updates in true real-time.

And waiting to 1st half of next year could be as long as June - which is 6 months.
Please can you prioritise adding back the manual refresh button which was so useful to force the data to update - as you have the with older (better) reporting.

Hey everyone, I wanted to ask something very related to this and update this post from 3 years ago. ⤵ 

 


I am creating sick leave reports for the company for the whole year, divided by months and also showing department and individual numbers. In the Analytics tab, I can create those reports, however there is one problem that I could not yet solve, which is  related to what Vida mentioned above: the report will show, in a given month, the total days in blocks, for example, November will give me 21 days (a block that started in October and ended in November) + 18 days (block that started in November). So in the end I get 39 sick days in a month for 1 employee, which, of course, makes me have to double check everything and correct things by hand. Has anyone ever solved this? I would appreciate any tips :)

@marigrava you should be able to see absence days taken by month. You have two options for selection - time off days and time off duration (within a timeframe). I have set up like this in a sandbox account. Does this view help?

@JHBEM thanks for the feedback - yes, real time is our goal I just wanted to be clear about what can be expected today. 

Thank you - to be honest - while the work is ongoing to make the new reports reach MVP then we are using the old reporting tool.

But note that there are instances where the old report can’t do what the new report can, but delayed - so we are stuck where neither is great.

 

As a request - which would be quick - the button that manual pushes a refresh could be added and released for January 2026 while the bigger piece to provide Real-time updates are progressed.

Hi Lisa, thank you very much for your reply. Would you mind sharing how you got it? I can get the duration of absence, the problem is, as I wrote, it will only work if the absence period started in that month, otherwise it will count the entire period from the previous month as well.

Hey all,
When I want to see reports on new hires, I can add a "hire date" column to see when they will start the position. However, I'd like to know the date of the hire, i.e when the candidate was officially recruited. Is it possible to create a report including both the "hire date" and the "start date"?

Can we create our dashboards under 'Metrics' and share them with everyone who has access to the 'Analytics' function? Currently, I can only create dashboards under 'Reports' and have to select each person with whom I want to share them individually.

@EceA For your first question, we haven’t added recruiting data into our reporting tool yet but we’re planning to add this in the first half of next year. One of the data points we’re adding is offer accepted date, is this what you’d consider ‘officially recruited’ that way you can use this to compare to the current hire date which, as you say, is the start date. 

 

For your second question, anyone that has access to the Analytics section should be able to see the metrics dashboards and HR admins control which charts are displayed for all here. Are you saying you’d like the ability to share specific charts from the dashboard with individuals? In 2026 we are looking to spend some more time to enable the dashboard to have more editing and configuration options so interested to hear any needs you have here. Thanks!

@marigrava just following up here. 

So hopefully you can see my screenshot in my previous comment to see how I set this up but you can see that time off is split over two periods as well as the duration when you select Time off duration days (during time frame). 

 

In another example - I added an absence for Abran Zanini over July and August and you can see the correct values attributed to each month.

I'd like to know the most effective and straightforward way to integrate Personio Recruiting and Employee Analytics with Power BI. From searching previous community discussions, I've found that people have different opinions, and the most recent solution was provided last year. Do you have any updates that could help us integrate Power BI quickly?

@EceA Most customers that use Personio reporting data in Power BI do so via our reporting API. Here is some documentation for our classic report API but we are soon to launch a new API for the new report builder so it may be worth waiting for the new API before making this change. I’m happy to keep you updated once this is live. Again, once our recruiting data is available via reporting, this can also be accessed via the same reporting API.
